Outlook Rules Wizard

Outlook Rules can be used for a variety of tasks.  For example, automatically move certain messages to a specific folder (such as a personal folder or the Deleted Items folder) or delete certain emails (i.e., Spam) or move email with a specific subject header to another folder. 

 

Rules Wizard

  • In Outlook select Tools, Rules and Alerts
  • Click the New Rule button
  • Select a template or select Start from a blank rule. 

For this example, we will move all messages from a specific person to another folder.

  • Select Move messages from someone to a folder
  • Click Next 

 

  • In the lower box under Step 2, click the link: people or distribution list.

  • Select the person or distribution list from the Global Address book or from your Contacts list.
  • In the lower box under Step 2, click the link: specified folder 

  • Select or create the folder to move the message to.
  • Click Next.

 

  • Click Next.

  • Exceptions to the rule can be set.
  • Click Next.

  • Specify a name for this rule.
  • Click Finish.
  • Click OK.

 

Outlook for the Mac Rules Wizard

  • In Outlook, select Tools, Rules

  • Click on Add Rule

  • At the top of the Edit Rule dialog box specify the conditions the message must meet for the action to occur.
  • Click Advanced for other selection options.
  • Under the Perform these actions area, select the actions you want.  You can select more than one.
    For instance, if you want to delete an email that contains specific text, type the text in the Message body field and check the Delete box.
  • Click OK when complete.

 

 

Notes:

  • You can create an “or” condition by separating each value within the condition with a semicolon (;).
  • You can change the order of rules by clicking the Move Up and Move Down in the Rules dialog box.
